Job Description
Job Summary:
A reputable and growing organization is seeking a highly organized, proactive, and professional Executive Assistant to provide comprehensive administrative and strategic support to the Chief Executive Officer (CEO).
The successful candidate will serve as a trusted partner to the CEO, ensuring the efficient management of schedules, communications, meetings, projects, and executive priorities. This role requires a high level of professionalism, discretion, attention to detail, and the ability to manage multiple responsibilities within a fast-paced business environment.
The ideal candidate should possess excellent communication skills, strong organizational abilities, sound judgment, and the confidence to interact with senior executives, clients, partners, and other key stakeholders on behalf of the CEO.

Key Responsibilities:
Executive Support
- Manage the CEO’s calendar, appointments, meetings, and travel arrangements.
- Coordinate daily schedules and ensure the CEO is adequately prepared for meetings, presentations, and engagements.
- Screen, prioritize, and manage incoming correspondence, emails, phone calls, and requests.
- Draft, edit, and prepare professional correspondence, reports, presentations, speeches, and briefing documents.
- Act as a liaison between the CEO and internal or external stakeholders.
Meeting & Event Coordination
- Organize executive meetings, board meetings, management meetings, and stakeholder engagements.
- Prepare meeting agendas, presentations, briefing materials, and supporting documentation.
- Attend meetings when required, record minutes, and monitor follow-up actions.
- Coordinate logistics for conferences, workshops, business events, and executive travel.
Administrative & Office Management
- Maintain confidential records, reports, and executive documentation.
- Track deadlines, deliverables, and key business priorities on behalf of the CEO.
- Support the preparation of management reports and executive dashboards.
- Ensure efficient filing and document management systems are maintained.
Project & Stakeholder Coordination
- Monitor ongoing projects and follow up with departments to ensure timely completion of assigned tasks.
- Coordinate communication between departments and senior management.
- Assist with the implementation of strategic initiatives and special projects assigned by the CEO.
- Prepare progress reports and status updates for executive review.
Relationship Management
- Build and maintain positive relationships with clients, partners, government institutions, service providers, and other stakeholders.
- Represent the CEO professionally during engagements where delegated.
- Handle sensitive and confidential information with the highest level of discretion.
Requirements:
- Bachelor’s Degree in Business Administration, Management, Communications, Public Administration, or a related field.
- Minimum of 5 years relevant experience supporting senior executives, directors, or C-suite leaders.
- Exceptional written and verbal communication skills.
- Strong organizational, planning, and time management abilities.
- High level of professionalism, confidentiality, and attention to detail.
- Excellent proficiency in Microsoft Office Suite, particularly Word, Excel, PowerPoint, and Outlook.
- Ability to manage multiple priorities and meet deadlines under pressure.
- Strong problem-solving, coordination, and interpersonal skills.
- Experience preparing reports, presentations, meeting minutes, and executive correspondence.
Preferred Qualifications:
- Experience working directly with a CEO, Managing Director, Country Manager, or other senior executive.
- Project coordination or project management experience.
- Experience within a corporate, professional services, financial services, manufacturing, telecommunications, or multinational environment.
- Familiarity with business reporting, executive administration, and stakeholder management.
