Position Summary

The Finance & Administration Manager will lead the organization’s financial management, budgeting, reporting, compliance, governance support, and administrative operations. The successful candidate will ensure sound financial controls, efficient resource utilization, effective administrative systems, and compliance with statutory and governance requirements while supporting the achievement of the organization’s strategic objectives.

Key Responsibilities

Strategy & Policy Implementation

  • Support the implementation of the organization’s strategic plans and financial objectives.
  • Develop, review, and strengthen financial policies, accounting procedures, internal controls, and Standard Operating Procedures (SOPs).
  • Ensure compliance with approved financial policies, governance requirements, and regulatory standards.
  • Drive continuous improvement initiatives across finance and administration functions.
  • Recommend enhancements to systems, processes, and controls to improve operational efficiency and effectiveness.

Budgeting & Financial Planning

  • Prepare and manage annual departmental budgets.
  • Coordinate and consolidate budget submissions and financial reports from branches.
  • Monitor budget performance and recommend corrective actions where necessary.
  • Support long-term financial planning, forecasting, and resource allocation initiatives.
  • Provide financial insights to support organizational planning and decision-making.

General Ledger & Financial Management

  • Oversee the administration, maintenance, and integrity of the General Ledger.
  • Monitor debtors, creditors, cash books, and subsidiary ledgers.
  • Ensure accounting journals and financial records are accurate, complete, and maintained on a timely basis.
  • Investigate and resolve unusual balances, variances, and accounting discrepancies.
  • Ensure compliance with applicable accounting standards and internal control requirements.
  • Maintain accurate financial records to support effective reporting and audit readiness.

Accounts Payable, Receivable & Payment Processing

  • Manage accounts payable and receivable processes.
  • Review and verify invoices, claims, advances, payroll inputs, and payment requests.
  • Ensure all financial transactions comply with approved organizational policies and procedures.
  • Approve payments within delegated authority limits.
  • Ensure timely remittance of statutory obligations, including:
    • PAYE
    • SSNIT Contributions
    • Withholding Taxes
    • Other Regulatory Obligations
  • Monitor branch transfers and ensure compliance with financial procedures.
  • Support effective cash flow management and liquidity planning.

Reconciliation & Financial Controls

  • Supervise monthly bank reconciliations for Head Office and branch accounts.
  • Ensure timely reconciliation of all balance sheet accounts.
  • Strengthen internal control systems and monitor adherence to financial procedures.
  • Identify, assess, and mitigate financial and operational risks.
  • Promote a strong culture of financial accountability and compliance.

Financial Reporting & Analysis

  • Prepare monthly, quarterly, and annual financial reports.
  • Produce management reports and financial analyses to support strategic decision-making.
  • Prepare Trial Balances and supporting schedules.
  • Ensure monthly financial reports are finalized and submitted by the 7th day of each month.
  • Maintain accurate financial and operational records for reporting and analysis purposes.
  • Present financial information and recommendations to management and governance bodies.

Stakeholder Relationship Management

  • Build and maintain productive relationships with:
    • Auditors
    • Regulatory Authorities
    • Financial Institutions
    • Service Providers
    • Government Agencies
  • Serve as the primary liaison on finance and administrative matters.
  • Coordinate internal and external audits.
  • Ensure audit findings and recommendations are addressed promptly and effectively.
  • Support compliance with statutory, regulatory, and governance requirements.

Office Administration & Operations

  • Lead daily administrative operations and ensure efficient office management.
  • Develop and implement administrative systems, policies, and procedures.
  • Manage office assets, records, facilities, and administrative budgets.
  • Supervise administrative staff and volunteers.
  • Coordinate procurement activities and vendor management processes.
  • Ensure the availability of office supplies and operational support services.
  • Organize meetings, workshops, seminars, conferences, and other organizational events.

Church Board & Governance Support

  • Provide administrative support to the Board and its committees.
  • Coordinate the preparation of Board agendas, reports, and supporting documentation.
  • Attend Board meetings and record accurate minutes where required.
  • Track Board resolutions and monitor progress on action items.
  • Maintain governance records, policies, resolutions, and official documentation.
  • Coordinate annual meetings and special committee engagements.

Team Leadership & Employee Development

  • Lead, mentor, and support direct reports.
  • Conduct performance appraisals and provide coaching to enhance employee performance.
  • Identify training and professional development opportunities for team members.
  • Foster a culture of accountability, teamwork, professionalism, and continuous improvement.
  • Promote employee engagement and high-performance standards across the team.

Qualifications & Experience

Educational Requirements

Bachelor’s Degree in:

  • Accounting
  • Finance
  • Commerce
  • Business Administration
  • Or a related discipline from a recognized institution

Professional Qualifications

Membership of a recognized professional accounting body is highly desirable, including:

  • ICA Ghana
  • ACCA
  • CIMA
  • CPA
  • Or an equivalent professional qualification

Experience

  • Minimum of four (4) years’ relevant professional experience in Finance and Administration.
  • At least two (2) years’ experience in a senior finance, accounting, or administrative role.
  • Experience within a faith-based organization, nonprofit institution, or multi-branch environment will be an advantage.
  • Demonstrated experience in budgeting, financial reporting, compliance, internal controls, and administrative management.
