We are seeking highly motivated and detail-oriented Monitoring Officers to strengthen our monitoring and compliance function. This role offers an exciting opportunity to contribute to sound operational controls, protect institutional assets, and promote transparency while supporting our mission of expanding responsible financial services across Ghana.
Job Summary
The Monitoring Officer is responsible for conducting operational monitoring activities to ensure compliance with company policies, lending procedures, internal controls, and regulatory requirements. The role involves verifying loan transactions, monitoring branch operations, identifying operational risks, conducting field inspections, and providing accurate reports that support effective decision-making.
The successful candidate will also promote safeguarding practices and contribute to continuous improvement across branch operations.
Key Responsibilities
Operational Monitoring
The Monitoring Officer will:
- Examine overdue loan reports and identify operational trends requiring management attention.
- Review financial and operational reports and prepare accurate monitoring reports for management.
- Conduct branch visits, group meeting observations, passbook reconciliations, and physical verification of clients.
- Verify the existence and identity of clients through field monitoring activities.
- Confirm the authenticity of guarantors and supporting loan documentation.
- Monitor cash-on-hand balances against cash books and system records.
- Follow up on previous monitoring findings and verify that corrective actions have been implemented.
Loan Monitoring
The successful candidate will monitor and investigate:
- Loans disbursed without the borrower’s knowledge.
- Loans operated partly or fully by staff.
- Loan repayments collected but not recorded in passbooks or deposited at the branch.
- Loans disbursed without the required approvals.
- Duplicate loans granted to the same client across different branches.
- New loans issued to clients with outstanding loan balances.
- Loans disbursed through irregular recovery or advance instalment practices.
- Clients reported as missing or who have absconded.
- Loan repayments made using another member’s instalments.
Documentation & Compliance
- Conduct random reviews of loan files, supporting documents, and client records.
- Verify that all loan documentation complies with company policies and procedures.
- Confirm that Branch Accounts Officers complete loan disbursement checklists accurately and consistently.
- Maintain accurate records of monitoring activities and recommend corrective actions where necessary.
Passbook & Savings Verification
- Reconcile clients’ passbooks with system-generated records and investigate discrepancies.
- Verify the accuracy of savings withdrawals and adjustments.
- Investigate unauthorized or fraudulent savings withdrawals.
- Confirm member attendance at meetings where savings withdrawal requests are made.
- Verify that members’ savings are not improperly used to offset other members’ loan obligations.
Reporting & Risk Management
- Prepare comprehensive monitoring reports highlighting findings, risks, and recommendations.
- Escalate fraud indicators, policy breaches, and operational risks promptly.
- Support management in strengthening internal controls and operational efficiency.
Safeguarding Responsibilities
The Monitoring Officer will:
- Promote a strong safeguarding culture across all levels of the institution.
- Support the implementation of the organization’s safeguarding policies and procedures.
- Provide guidance and promote awareness of safeguarding responsibilities among staff.
- Ensure safeguarding concerns are reported promptly in accordance with established reporting procedures.
- Contribute to maintaining a safe, respectful, and inclusive working environment.
Minimum Qualifications
Candidates must possess:
- A Bachelor’s Degree, HND, or Diploma in Accounting, Banking and Finance, Business Administration, Economics, Statistics, or another related discipline.
- A minimum of two (2) years’ relevant professional experience in monitoring, audit, compliance, risk management, microfinance, banking, or a similar financial services environment.
- Experience within the microfinance or financial services sector will be an added advantage.

- Strong understanding of financial operations, internal controls, and monitoring principles.
- Knowledge of loan administration, savings operations, and compliance processes.
- Excellent analytical and investigative skills.
- Strong report writing and presentation skills.
- Effective verbal and written communication skills in English.
- High level of integrity, professionalism, confidentiality, and ethical conduct.
- Strong planning, organizational, and time management skills.
- Ability to work independently and collaboratively within a team.
- Proficiency in Microsoft Office applications, particularly Microsoft Excel and Microsoft Word.
- Strong problem-solving and decision-making abilities.
- Ability to work under pressure while maintaining accuracy and attention to detail.
