Job Summary
The Office & Fleet Manager will lead and coordinate office administration and fleet operations to ensure efficient, safe, and well-organized support services for the organization. The role holder will maintain a welcoming, professional, and productive office environment while ensuring that the organization’s fleet operates effectively to support program and operational activities. The position also requires supervision of administrative and fleet personnel and the implementation of systems that improve efficiency, compliance, and cost control.
Key Responsibilities
Office Administration
- Manage daily office operations to maintain a welcoming, organized, and productive work environment.
- Develop and implement administrative systems, policies, and procedures to support effective office management.
- Oversee office facilities, equipment, and supplies to ensure continuous and efficient operations.
- Coordinate office logistics, meetings, and internal support services.
- Supervise administrative staff and promote high standards of performance and accountability.
Fleet Management
- Manage the organization’s fleet to ensure safe, efficient, and cost-effective vehicle operations.
- Implement fleet management procedures, including vehicle maintenance schedules, fuel monitoring, and vehicle allocation.
- Maintain accurate records of vehicle usage, maintenance, insurance, and regulatory compliance.
- Ensure all vehicles meet safety standards and legal requirements.
- Supervise drivers and fleet support staff to ensure adherence to operational and safety procedures.
Operations and Compliance
- Maintain proper documentation and reporting systems for administrative and fleet activities.
- Monitor budgets and implement cost-control measures related to office and fleet operations.
- Ensure compliance with organizational policies and relevant regulatory requirements.
- Support management in strengthening operational efficiency and workplace standards.
Educational Qualifications
- A Bachelor’s degree in Business Administration, Logistics, Operations Management, or a related field.
- A Master’s degree is an advantage.
- Professional training or certification in Fleet Management is desirable.
Experience Requirements
- Minimum of 7 years of experience in administrative management, office operations, and fleet management.
- At least 3 years of experience in a supervisory role.

- Strong problem-solving and decision-making skills
- Effective communication and interpersonal skills
- Ability to manage multiple operational priorities and maintain high standards of efficiency
