PERSONAL ASSISTANT (FULL-TIME)

Location: East Legon

We are seeking a highly organized, proactive, and discreet Personal Assistant to provide executive, administrative, and logistical support to the Executive Director. The successful candidate will play a key role in ensuring smooth day-to-day operations and effective management of the Executive Director’s schedule and priorities.

Position Summary

As a Personal Assistant, you will manage the Executive Director’s calendar, communications, travel arrangements, and administrative tasks. You will act as a key support partner, ensuring the Executive Director is well-prepared, organized, and supported in all business and professional engagements.

Key Responsibilities

  • Manage and maintain the Executive Director’s calendar, appointments, and scheduling commitments.
  • Coordinate meetings, travel arrangements, accommodation, and logistics efficiently.
  • Manage email correspondence, prioritize urgent communication, and ensure timely follow-ups.
  • Prepare meeting briefs, reports, presentations, and official correspondence.
  • Organize and maintain accurate digital and physical filing systems.
  • Serve as the first point of contact for calls, inquiries, and professional invitations.
  • Take accurate meeting minutes and support research and administrative tasks as required.
  • Ensure the Executive Director is fully prepared for meetings, events, and engagements.
  • Provide general administrative and executive support to management when required.
  • Maintain confidentiality and handle sensitive information with discretion at all times.

Requirements

  • Previous experience in a Personal Assistant, Executive Assistant, Administrative Assistant, or similar role.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • High level of professionalism, discretion, and confidentiality.
  • Proficiency in Microsoft Office Suite and digital scheduling tools.
  • Must possess a valid passport.
  • Must possess a valid driver’s license.
  • Must reside within or around East Legon, Okponglo, or nearby areas for accessibility and flexibility.

  • Ability to work effectively under pressure and meet tight deadlines.
  • Strong interpersonal, coordination, and planning skills.
