Position Summary
As a Personal Assistant, you will manage the Executive Director’s calendar, communications, travel arrangements, and administrative tasks. You will act as a key support partner, ensuring the Executive Director is well-prepared, organized, and supported in all business and professional engagements.
Key Responsibilities
- Manage and maintain the Executive Director’s calendar, appointments, and scheduling commitments.
- Coordinate meetings, travel arrangements, accommodation, and logistics efficiently.
- Manage email correspondence, prioritize urgent communication, and ensure timely follow-ups.
- Prepare meeting briefs, reports, presentations, and official correspondence.
- Organize and maintain accurate digital and physical filing systems.
- Serve as the first point of contact for calls, inquiries, and professional invitations.
- Take accurate meeting minutes and support research and administrative tasks as required.
- Ensure the Executive Director is fully prepared for meetings, events, and engagements.
- Provide general administrative and executive support to management when required.
- Maintain confidentiality and handle sensitive information with discretion at all times.
Requirements
- Previous experience in a Personal Assistant, Executive Assistant, Administrative Assistant, or similar role.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- High level of professionalism, discretion, and confidentiality.
- Proficiency in Microsoft Office Suite and digital scheduling tools.
- Must possess a valid passport.
- Must possess a valid driver’s license.
- Must reside within or around East Legon, Okponglo, or nearby areas for accessibility and flexibility.

- Highly proactive, detail-oriented, and resourceful.
- Ability to work effectively under pressure and meet tight deadlines.
- Strong interpersonal, coordination, and planning skills.
