Senior Administrative Assistant (Full-Time)

Location: Navrongo, Ghana

This role offers an opportunity to support the University’s administrative operations by ensuring efficient records management, effective office coordination, and high-quality administrative services.

Key Responsibilities

  • Receive, register, sort, and dispatch incoming and outgoing correspondence in accordance with established University procedures.
  • Maintain and manage both physical and electronic filing systems, ensuring accurate indexing, secure storage, efficient retrieval, and proper disposal of records.
  • Support the management of student and staff records while ensuring their accuracy, confidentiality, and accessibility.
  • Process, monitor, and track the movement of files and official documents across departments, schools, directorates, and other administrative units.
  • Prepare and distribute official University correspondence, circulars, notices, reports, and other administrative documents as required.
  • Organize and provide administrative support for meetings of committees, boards, departments, and schools, including preparing agendas, recording minutes, and following up on agreed action points.
  • Provide administrative and secretarial support to Heads of Department, Deans, Directors, and other designated supervisors.
  • Assist in implementing the University’s records retention and disposal policies in compliance with applicable regulations and institutional standards.
  • Support the digitization, maintenance, and continuous improvement of institutional records and the University’s Management Information System (MIS).
  • Maintain confidentiality and uphold high standards of professionalism in handling official information and documentation.
  • Perform any other duties assigned by the immediate Supervisor, Registrar, Vice-Chancellor, or the University Council.

Qualifications and Experience

Applicants must meet one of the following requirements:

  • Have served satisfactorily as an Administrative Assistant in a university or a comparable institution for at least four (4) years; or
  • Hold a good First Degree or Higher National Diploma (HND) in Secretaryship and Management Studies, Information Studies, Public Administration, Business Administration, or a related discipline from a recognized institution.

Applicants must also:

  • Have a minimum of three (3) years’ relevant administrative experience in a university or a comparable institution.
  • Demonstrate strong organizational, communication, records management, and office administration skills.
  • Be proficient in Microsoft Office Suite and other relevant computer applications.
  • Demonstrate excellent interpersonal skills, attention to detail, and the ability to manage multiple priorities effectively.
  • Be capable of working independently and collaboratively while maintaining a high level of professionalism and confidentiality.
