Job Summary
The Stores and Inventory Management Officer I will oversee the receipt, storage, control, preservation, and issuance of inventory while ensuring effective inventory management practices, compliance with internal controls, and efficient warehouse operations. The successful candidate will also supervise the Stores Unit and drive continuous improvements in inventory management processes.
Key Responsibilities
- Receive, inspect, record, store, preserve, and issue materials, equipment, and supplies in accordance with established policies and procedures.
- Maintain accurate inventory records using approved inventory management systems and ensure timely updates of all stock movements.
- Conduct periodic and annual stock-taking exercises and reconcile inventory balances.
- Investigate stock discrepancies and implement corrective actions where necessary.
- Monitor inventory levels and initiate timely replenishment to prevent stock shortages, overstocking, or obsolete inventory.
- Ensure the safe custody, security, preservation, and proper storage of all inventory items.
- Supervise warehouse operations to ensure efficient material handling and storage practices.
- Lead, mentor, train, and evaluate staff within the Stores Unit to enhance operational efficiency and service delivery.
- Ensure compliance with inventory control procedures, internal controls, and organizational policies.
- Prepare inventory, stock movement, and management reports as required.
- Collaborate with Procurement, Finance, and user departments to support efficient supply chain operations.
- Perform any other official duties assigned by management.
Qualifications & Experience
- Bachelor’s Degree (minimum of Second Class Lower Division) in Procurement and Supply Chain Management, Logistics and Supply Chain Management, B.Tech in Procurement, or a related field.
- Must be a Chartered Member of the Chartered Institute of Procurement and Supply (MICPS) or possess an equivalent professional qualification such as CIPS, with at least seven (7) years of professional membership.
- Master’s Degree in Procurement and Supply Chain Management or a related discipline is required.
- Additional professional certification in a relevant field will be an added advantage.
- Minimum of ten (10) years’ relevant post-qualification experience in stores, warehouse, inventory management, procurement, or supply chain management.
- Minimum of three (3) years’ supervisory or managerial experience in stores and inventory management.
- Demonstrated experience in inventory control, warehouse operations, records management, stock verification, and internal control systems.
- Experience in a large public sector institution or a reputable private organization will be an added advantage.

General Requirements
Applicants should:
- Possess five (5) credits in WASSCE/GCE Ordinary Level, including English Language and Mathematics in one sitting, or six (6) credits in not more than two sittings, including English Language and Mathematics.
- Be not more than forty (40) years of age as of the application closing date.
- Demonstrate high integrity, confidentiality, and reliability.
- Be self-motivated and capable of preparing high-quality reports.
- Be willing to work beyond normal working hours with minimal supervision when required.
- Demonstrate strong teamwork, interpersonal skills, and openness to organizational change.
