We are seeking a highly organized, proactive, and detail-oriented Virtual Assistant to support our operations and contribute to the success of our growing team.


Position Summary

The Virtual Assistant will provide comprehensive administrative and operational support to ensure the efficient execution of business activities. The successful candidate will manage schedules, coordinate tasks, support project workflows, maintain organized records, and facilitate effective communication across teams and stakeholders.

This role requires exceptional organizational skills, strong communication abilities, and the capacity to manage multiple priorities in a fast-paced environment.


Key Responsibilities

Administrative Support

  • Manage calendars, appointments, meetings, and scheduling activities.
  • Coordinate travel arrangements, meeting logistics, and event planning as required.
  • Prepare reports, presentations, correspondence, and business documents.
  • Maintain organized digital filing systems and ensure accurate record management.
  • Handle email correspondence and respond to inquiries professionally and promptly.

Project Coordination

  • Assist with project planning, task tracking, and workflow management.
  • Monitor deadlines and follow up on action items to ensure timely completion.
  • Collaborate with team members to coordinate operational activities and project deliverables.
  • Maintain project documentation and provide administrative support throughout project lifecycles.

Communication & Stakeholder Support

  • Serve as a point of contact for internal and external stakeholders.
  • Facilitate effective communication across teams and departments.
  • Support management with research, data gathering, and information analysis.
  • Prepare meeting agendas, record minutes, and track follow-up actions.

Systems & Process Management

  • Utilize project management tools to organize tasks and improve workflow efficiency.
  • Support process improvement initiatives and operational optimization efforts.
  • Maintain accurate databases and update company records as required.
  • Assist with CRM management and customer relationship activities where applicable.

Educational Requirements

A Diploma, HND, Bachelor’s Degree, or equivalent qualification in Business Administration, Management, Communications, Office Administration, or a related field will be an advantage.


Required Qualifications & Experience

  • Previous experience as a Virtual Assistant, Executive Assistant, Administrative Assistant, or in a similar support role.
  • Excellent written and verbal communication skills in English.
  • Strong organizational, planning, and time-management abilities.
  • Proven ability to manage multiple tasks and meet deadlines effectively.
  • High attention to detail and strong problem-solving skills.
  • Ability to work independently and maintain productivity in a remote work environment.
  • Reliable internet connection and a suitable remote work setup.

Technical Skills

Productivity Tools

  • Proficiency in Google Workspace, including:
    • Google Docs
    • Google Sheets
    • Google Drive
  • Strong proficiency in Microsoft Office Suite:
    • Microsoft Word
    • Microsoft Excel
    • Microsoft PowerPoint
    • Microsoft Outlook

Project Management Tools

Experience using project management platforms such as:

  • Trello
  • Asana
  • ClickUp
  • Or similar task and workflow management systems

Preferred Qualifications

Candidates with any of the following will have an added advantage:

  • Experience supporting startups, agencies, or construction and real estate businesses.
  • Familiarity with Customer Relationship Management (CRM) systems.
  • Social media management and content coordination experience.
  • Experience working in fast-paced and growth-oriented organizations.
