Position Overview

We are seeking a highly motivated Assistant Reservations Manager to support the Reservations and Revenue team in driving occupancy, maximizing room revenue, and delivering outstanding guest service. In this full-time role, you will actively manage reservations operations, support sales conversion, and ensure seamless coordination between departments to optimize hotel performance.


Candidate Profile

Education and Experience (Required)

Candidates must meet one of the following qualifications:

  • High School Diploma or GED; no prior work experience required, OR
  • 2-year degree from an accredited university in Business Administration, Marketing, Hotel and Restaurant Management, or a related field, plus
    • Minimum of 2 years’ experience in sales and marketing, guest services, front desk, or a related hospitality role.

Core Responsibilities

Revenue Optimization & Market Understanding

  • Identify and convert reservation sales opportunities to achieve individual and property revenue targets.
  • Analyze market trends, competitor performance, and demand patterns to support strategic pricing and selling decisions.
  • Apply effective selling techniques to secure high-value bookings aligned with property needs.
  • Monitor same-day selling strategies to maximize occupancy and room revenue.
  • Understand guest segments and tailor service delivery to meet customer expectations and business needs.

Reservations Sales Operations

  • Respond to incoming reservation requests and convert opportunities beyond standard booking parameters.
  • Apply strong negotiation and selling skills to close business and manage contract agreements.
  • Utilize sales systems and support resources efficiently to process reservations and manage workload.
  • Coordinate with Sales and Convention Services teams to manage group bookings, rooming lists, and reservation documentation.
  • Support accurate input and tracking of reservation data within systems.
  • Monitor no-show bookings and apply appropriate charges in line with hotel policy.
  • Review daily arrivals to ensure billing instructions and guest preferences are correctly applied.
  • Manage and prioritize waitlist requests effectively to maximize booking opportunities.
  • Prepare work orders and maintenance requests where required.

Customer Service Excellence

  • Deliver exceptional service aligned with brand standards and guest experience expectations.
  • Build strong customer relationships to increase loyalty and repeat business.
  • Assist guests proactively before, during, and after their stay to ensure satisfaction.
  • Handle guest complaints and resolve disputes using approved service recovery procedures.
  • Recommend hotel services and solutions that best meet guest needs and enhance their experience.
  • Maintain a professional and positive approach in all guest interactions.

Team Leadership & Support

  • Monitor and support reservations agents during customer interactions to ensure quality service delivery.
  • Assist in developing and implementing onboarding and orientation programs for new team members.
  • Use available training tools to strengthen team performance and service consistency.
  • Support monthly workforce scheduling and operational planning for the reservations team.

Administrative & Operational Duties

  • Generate contracts and reservation-related documentation as required.
  • Utilize internal systems and intranet tools for operational support and information access.
  • Ensure accuracy and compliance in all reservation-related processes and reporting.
