We are seeking a proactive and detail-oriented Inventory Officer to manage inventory operations across our showroom and warehouse. This role offers an excellent opportunity for a professional who is passionate about inventory control, operational excellence, and continuous improvement.

Job Summary

The Inventory Officer will be responsible for managing and controlling inventory within the showroom and warehouse to ensure stock accuracy, product availability, and efficient inventory movement. The successful candidate will maintain accurate inventory records, support stock replenishment, coordinate with internal teams, and ensure compliance with inventory management policies and procedures.

Key Responsibilities

Inventory Management

The Inventory Officer will:

  • Maintain accurate inventory records for all products held in the showroom and warehouse.
  • Ensure products are properly stored, labelled, and handled in accordance with company standards.
  • Categorize and identify fast-moving, slow-moving, and high-value inventory.
  • Issue stock against approved sales orders, requisitions, and authorized requests.
  • Maintain accurate documentation for all inventory transactions.

Inventory Reconciliation & Stock Audits

  • Conduct routine physical stock counts and reconcile inventory with system records.
  • Perform daily inventory updates and reconcile stock movements with sales transactions.
  • Investigate inventory discrepancies and implement corrective actions promptly.
  • Conduct weekly and monthly stock verification exercises.
  • Support internal and external inventory audits by providing accurate records and documentation.
  • Prepare regular inventory reports for management review.

Stock Control & Replenishment

  • Monitor inventory levels to prevent stock shortages, overstocking, and product obsolescence.
  • Apply First-In, First-Out (FIFO) inventory management principles.
  • Identify slow-moving, obsolete, or excess inventory and recommend appropriate actions.
  • Raise purchase requisitions when inventory reaches established reorder levels.
  • Monitor supplier deliveries and verify receipts against purchase orders.
  • Maintain minimum and maximum stock levels in line with operational requirements.

Goods Receiving & Issuing

  • Verify all incoming goods against approved purchase orders and delivery documentation.
  • Inspect received products for quantity and quality before acceptance.
  • Record, label, and store inventory accurately within designated storage locations.
  • Ensure inventory is issued only with appropriate authorization.
  • Maintain complete and accurate records of all stock movements.

Loss Prevention & Inventory Control

  • Monitor inventory within the showroom and warehouse to minimize losses.
  • Report damaged, missing, or stolen inventory immediately.
  • Enforce company procedures relating to inventory handling, movement, and security.
  • Promote accountability for all inventory issued and received.

Cross-Functional Collaboration

  • Provide timely inventory updates to the Sales team to support customer enquiries and order fulfilment.
  • Communicate product availability and replenishment schedules effectively.
  • Collaborate with the Finance and Accounts team to reconcile inventory movements and financial records.
  • Support pricing, costing, and inventory valuation activities as required.

Reporting & Inventory Analysis

  • Prepare daily, weekly, and monthly inventory performance reports.
  • Analyse inventory trends, including fast-moving, slow-moving, and obsolete stock.
  • Support demand forecasting and inventory planning using sales and stock movement data.
  • Recommend improvements that enhance inventory accuracy and operational efficiency.

Minimum Qualifications

Candidates must possess:

  • A Bachelor’s Degree in Supply Chain Management, Logistics, Business Administration, Procurement, Operations Management, or a related discipline.
  • A minimum of two (2) to four (4) years’ relevant experience in inventory management, warehouse operations, or store management.
  • Experience within the electronics, retail, FMCG, or distribution sector will be an added advantage.

Working Conditions

  • The role is based across both showroom and warehouse environments.
  • Regular handling and movement of electronic products may be required.
  • Additional working hours may occasionally be required during stock-taking exercises and inventory audits.
