ASERD-GHANA is seeking a highly organized, detail-oriented, and results-driven professional to join its team as an Assistant Finance & Administration Manager. The successful candidate will support the organization’s financial management, administrative operations, compliance processes, and reporting functions while ensuring transparency, accountability, and operational efficiency.
Job Summary
The Assistant Finance & Administration Manager will support the effective management of the organization’s financial and administrative systems. The role involves maintaining financial records, supporting budgeting and reporting processes, ensuring compliance with statutory and donor requirements, strengthening internal controls, and providing administrative and operational support.
The successful candidate must demonstrate strong analytical skills, professionalism, integrity, and the ability to work effectively in a fast-paced environment.
Key Responsibilities
1. Financial Management & Accounting
- Maintain accurate and up-to-date financial records, including invoices, receipts, payments, and supporting documentation.
- Process financial transactions and ensure proper filing and record management.
- Reconcile bank statements and financial records regularly.
- Prepare and process payments to vendors, suppliers, consultants, and staff.
- Manage petty cash and ensure compliance with accountability procedures and financial controls.
- Support day-to-day accounting operations and ensure adherence to organizational financial policies.
2. Budgeting & Financial Planning
- Support the preparation of annual organizational and departmental budgets.
- Monitor expenditures and track budget performance against approved plans.
- Assist with financial forecasting and budget revisions.
- Identify, analyze, and report budget variances to management.
3. Financial Reporting & Compliance
- Prepare periodic financial reports for management, partners, and donors.
- Support the preparation of annual financial statements and related documentation.
- Ensure compliance with donor regulations, organizational policies, and statutory requirements.
- Prepare and submit statutory returns, including:
- GRA filings
- SSNIT contributions
- Tier 2 pension payments
- Maintain accurate records to support audits, compliance reviews, and inspections.
4. Audit & Internal Controls
- Support the implementation and strengthening of internal control systems to promote transparency and accountability.
- Assist external auditors during annual audits and financial assessments.
- Organize and maintain financial documentation required for audits and reviews.
- Ensure compliance with approved financial procedures and controls.
5. Administrative & Operational Support
- Support procurement processes, including invoice verification and purchase order review.
- Maintain and regularly update organizational asset registers.
- Provide administrative and office coordination support.
- Assist with logistics, inventory management, and general office operations.
6. Expense Management & Verification
- Review and verify expense reports to ensure accuracy and policy compliance.
- Process staff reimbursements promptly and accurately.
- Investigate and resolve discrepancies related to billing, payments, and financial documentation.
7. Data Management & Systems Strengthening
- Accurately input financial data into accounting and financial management systems.
- Maintain organized financial databases and records.
- Support improvements in financial systems, controls, and documentation procedures.
- Ensure proper archiving and safeguarding of financial and administrative records.
Qualifications & Requirements
Academic Qualifications
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
- Minimum of 3–5 years of relevant professional experience.
- A Master’s degree in Finance, Accounting, or Business Administration will be an added advantage.
- Professional certification or part qualification in any of the following is highly desirable:
- ACCA
- CIMA
- ICA
Professional Experience
- Minimum of 3–5 years’ experience in accounting, finance, or financial management roles.
- Previous experience in the NGO or development sector is strongly preferred.
- Demonstrated experience managing donor-funded project finances and reporting requirements.
Technical Competencies
- Strong knowledge of accounting principles, budgeting, and financial reporting.
- Experience using accounting software and financial management systems.
- Familiarity with statutory compliance requirements, including GRA, SSNIT, and pension administration.
- Proficiency in Microsoft Office Suite, particularly Excel, Word, and PowerPoint.
