Position Summary
Peniel Academy is seeking a highly skilled and proactive Head of Operations to lead and manage all operational, administrative, and support functions of the school. The successful candidate will ensure smooth daily operations, maintain high standards across facilities and services, and strengthen systems that support effective teaching and learning. This role requires a strong leader who drives efficiency, accountability, and continuous improvement across the institution.

Key Responsibilities
Operational Leadership
- Develop and implement operational strategies, policies, and procedures that align with the school’s mission and objectives.
- Oversee daily operational activities to ensure efficiency, consistency, and continuous improvement across all departments.
- Monitor operational performance and introduce initiatives that enhance productivity and service delivery.
- Ensure all operational activities comply with institutional policies and relevant regulatory standards.
Administration and Facilities Management
- Oversee the maintenance and functionality of all school facilities, equipment, and infrastructure.
- Ensure classrooms, offices, and recreational spaces remain safe, functional, and conducive to learning.
- Coordinate maintenance schedules, repairs, and infrastructure improvement projects.
- Supervise external service providers, contractors, and vendors to ensure quality service delivery.
Procurement and Resource Management
- Manage procurement processes to ensure transparency, efficiency, and value for money.
- Oversee inventory control and ensure the availability of essential teaching and operational resources.
- Manage supplier relationships and negotiate contracts where required.
- Safeguard institutional assets and ensure optimal resource utilization.
Financial and Budgetary Support
- Support the preparation and monitoring of operational budgets.
- Track expenditures and ensure responsible financial management of operational resources.
- Identify cost-saving opportunities and recommend efficiency improvements.
- Prepare operational reports and performance updates for management review.
Health, Safety, and Compliance
- Ensure compliance with all health, safety, and regulatory requirements within the school environment.
- Develop and enforce safety policies and emergency preparedness procedures.
- Conduct risk assessments and implement mitigation measures.
- Promote a safe and secure environment for students, staff, parents, and visitors.
Human Resource Support
- Collaborate with leadership on workforce planning, staff welfare, and performance management.
- Support onboarding, orientation, and compliance processes for staff.
- Promote a culture of accountability, teamwork, and continuous improvement.
Stakeholder Engagement
- Build and maintain strong relationships with staff, parents, suppliers, regulators, and other stakeholders.
- Address operational issues promptly, professionally, and effectively.
- Support school events, programs, and community engagement activities.
Reporting and Performance Management
- Prepare periodic operational reports and performance analyses for management.
- Develop and monitor key performance indicators (KPIs) for operational efficiency.
- Drive continuous improvement initiatives to enhance service quality and institutional performance.
Qualifications and Experience
Educational Requirements
- Bachelor’s degree in Business Administration, Operations Management, Public Administration, Education Management, Human Resource Management, or a related field.
- A Master’s degree or relevant professional qualification will be an added advantage.
Experience
- Minimum of five (5) years’ progressive experience in operations, administration, or institutional management.
- Prior leadership or management experience within an educational institution is highly desirable.
- Proven experience in managing operations, facilities, procurement, and administrative systems.
