Position Overview
The Logistics Specialist will coordinate end-to-end freight operations, ensuring shipments move efficiently, cost-effectively, and in compliance with international logistics regulations. The successful candidate will work closely with carriers, clients, customs authorities, warehouse teams, and third-party logistics providers to ensure seamless execution of transportation activities.
Key Responsibilities
Shipment Coordination
The Logistics Specialist will:
- Coordinate domestic and international shipments across air, ocean, and ground transportation.
- Schedule cargo pickups, deliveries, and transportation activities to ensure timely execution.
- Optimize transportation routes to improve efficiency, reduce costs, and meet customer delivery requirements.
Documentation Management
- Prepare, review, and maintain shipping documentation, including Bills of Lading, Air Waybills, commercial invoices, customs declarations, and other freight documents.
- Ensure all shipment documentation is accurate, complete, and compliant with applicable regulations.
Client Relationship Management
- Serve as the primary point of contact for clients throughout the shipment lifecycle.
- Provide proactive updates on shipment status, transit progress, delivery schedules, and any operational delays.
- Respond promptly to customer inquiries while delivering a high standard of customer service.
Freight Procurement & Rate Negotiation
- Obtain freight quotations from carriers and third-party logistics providers.
- Negotiate competitive freight rates and service agreements while maintaining quality standards.
- Support cost optimization initiatives across transportation operations.
Shipment Monitoring
- Track shipments using Transportation Management Systems (TMS) and other logistics platforms.
- Monitor cargo movement, identify shipment exceptions, and implement timely corrective actions to minimize disruptions.
Regulatory Compliance
- Ensure compliance with applicable transportation, customs, and freight regulations, including FMC, TSA, IATA, and U.S. Customs requirements where applicable.
- Maintain adherence to company policies and international shipping standards.
Warehouse & Operations Coordination
- Coordinate inbound and outbound freight activities with warehouse teams.
- Schedule loading, unloading, dock appointments, and cargo handling operations to support efficient warehouse processes.
Issue Resolution
- Investigate shipment discrepancies, damages, shortages, billing issues, and service failures.
- Coordinate claims processes and implement corrective actions to resolve operational issues efficiently.
Reporting & Record Management
- Maintain accurate shipment records, transportation costs, freight documentation, and operational reports.
- Prepare logistics performance reports and contribute to continuous process improvement initiatives.
Qualifications & Requirements
The ideal candidate should possess:
- Strong computer skills, including proficiency in Google Sheets, Google Docs, Microsoft Office applications, and CRM systems.
- Experience working with Transportation Management Systems (TMS) or similar logistics software is an advantage.
- Excellent organizational skills with exceptional attention to detail.
- Strong analytical, problem-solving, and decision-making abilities.
- Excellent written and verbal communication skills.
