Position Summary
We are seeking a highly organized, analytical, and results-oriented Office Operations & Administration Manager to lead and strengthen our internal operations. The successful candidate will oversee office administration, financial coordination, workflow efficiency, subscription management, and executive support functions while ensuring operational discipline and revenue accountability across the business.
This role requires a proactive professional with strong financial literacy, operational leadership skills, and the ability to work confidently with technology-based systems and client-facing responsibilities.
Key Responsibilities
- Lead and manage all office administration activities, documentation systems, and workflow processes to ensure operational efficiency and accountability.
- Serve as Backup Office Manager to ensure uninterrupted continuity of office operations when required.
- Audit and improve daily office procedures to enhance productivity, reduce waste, strengthen controls, and optimize operational costs.
- Develop a strong understanding of company products, tracking servers, subscriptions, SIM management systems, and related operational platforms to identify and eliminate inactive or unnecessary recurring costs.
- Manage invoicing processes, subscription billing, reconciliations, and revenue tracking activities accurately and efficiently.
- Support bookkeeping functions and assist with monthly financial reporting as backup Accountant.
- Monitor subscription renewals, outstanding payments, and enforce strict billing and collection discipline.
- Train clients on system usage and identify opportunities to upsell additional devices, features, analytics, and services.
- Represent the company during client engagements, customer support interactions, contract renewals, and executive-level customer care activities.
- Provide selected executive support to the CEO, including reporting, coordination, follow-ups, and administrative assistance.
Required Qualifications & Experience
- Bachelor’s degree in Accounting, Business Administration, Information Technology, or a related field.
- Minimum of 3–5 years’ experience in administration, operations management, accounting, or a related role.
- Strong financial literacy with proven reconciliation and reporting competence.
- Technologically confident with the ability to understand tracking systems, server-based platforms, and digital operational tools.
- Demonstrated ability to train clients and contribute to revenue-generating initiatives.
- Strong analytical and problem-solving skills with the ability to identify operational waste and revenue leakages.
- Highly disciplined, structured, detail-oriented, and results-driven.
- Excellent communication, organizational, and interpersonal skills.
