Position Summary
The Receptionist is responsible for managing the front office, welcoming visitors, handling communications, coordinating administrative activities, and ensuring the reception area operates efficiently. The ideal candidate will possess excellent communication skills, a positive attitude, and a strong commitment to delivering outstanding customer service.
Key Responsibilities
- Welcome visitors, clients, and guests warmly while creating a positive first impression of the company.
- Answer, screen, and direct incoming telephone calls promptly and professionally.
- Respond to email enquiries and forward correspondence to the appropriate departments.
- Maintain a clean, organized, and professional reception area at all times.
- Schedule appointments, meetings, and conference room bookings.
- Receive, sort, and distribute incoming mail, courier deliveries, and other correspondence.
- Maintain accurate visitor records, reception logs, and office documentation.
- Organize, file, and manage documents and company records.
- Provide administrative support to departments as required.
- Monitor office supplies, maintain inventory records, and coordinate replenishment when necessary.
- Support management with day-to-day administrative activities.
- Maintain confidentiality when handling company and customer information.
- Perform other duties assigned by management to support business operations.
Qualifications and Experience
Education
Applicants should possess:
- Higher National Diploma (HND) or Bachelor’s Degree in Business Administration, Secretarial Studies, Office Management, Communications, or a related discipline.
Experience
- Previous experience as a Receptionist, Front Desk Officer, Customer Service Representative, or Administrative Assistant will be an advantage.
- Experience working within a corporate or healthcare environment is desirable.
