Job Summary

The Secretary will provide comprehensive administrative support to ensure the smooth and efficient operation of the office. The successful candidate will manage correspondence, coordinate schedules, maintain records, organize meetings, and serve as a professional point of contact for internal and external stakeholders.

Key Responsibilities

  • Manage daily office administration and provide comprehensive secretarial support.
  • Prepare, type, proofread, and distribute correspondence, reports, presentations, and other official documents.
  • Manage calendars, schedule appointments, meetings, and coordinate travel arrangements where required.
  • Organize meetings, prepare agendas, record minutes, and follow up on action items.
  • Receive, screen, and direct telephone calls, emails, and visitors professionally and courteously.
  • Maintain organized filing systems for both physical and electronic records while ensuring confidentiality.
  • Handle incoming and outgoing correspondence and ensure timely distribution of information.
  • Coordinate office supplies, stationery, and other administrative resources.
  • Support the preparation of reports, presentations, and administrative documentation.
  • Maintain confidentiality when handling sensitive business information and company records.
  • Liaise effectively with internal departments, clients, suppliers, and other stakeholders.
  • Perform any other administrative and secretarial duties assigned by Management.

Qualifications & Experience

  • Bachelor’s degree, Higher National Diploma (HND), Diploma, or equivalent qualification in Business Administration, Secretarial Studies, Office Management, or a related field.
  • Previous experience in a secretarial, administrative, or office support role will be an advantage.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Experience using office equipment and digital communication tools.
  • Strong understanding of office administration procedures and record management practices.
