Position Summary
The Administrative Assistant will provide comprehensive administrative and operational support to ensure the smooth running of the office. The successful candidate will manage office administration, coordinate schedules, facilitate communication, organize meetings and travel, and provide exceptional support to internal and external stakeholders.

Key Responsibilities
As an Administrative Assistant, you will:
- Coordinate daily office operations to ensure an efficient and well-organized work environment.
- Schedule meetings, prepare agendas, record accurate minutes, and follow up on action items.
- Manage calendars, appointments, and meeting schedules while resolving scheduling conflicts proactively.
- Coordinate domestic and international travel arrangements, including booking flights, accommodation, transportation, and restaurant reservations when required.
- Prepare reports, presentations, correspondence, and other business documents using Microsoft Office applications.
- Maintain accurate filing systems, both electronic and physical, ensuring confidentiality and easy retrieval of records.
- Monitor office inventory and coordinate the procurement of office supplies and administrative resources.
- Screen and direct telephone calls, emails, and other correspondence professionally and efficiently.
- Welcome visitors and ensure they receive a professional and positive experience from arrival through departure.
- Conduct research and compile information to support projects, meetings, and management decision-making.
- Build and maintain positive relationships with staff, visitors, clients, and other stakeholders.
- Anticipate administrative needs and provide proactive support to enhance operational efficiency.
- Perform additional administrative duties and special projects as assigned.
Qualifications and Experience
The ideal candidate will possess:
- A Bachelor’s degree in Business Administration, Secretaryship, Project Management, Communication, or a related discipline.
- A minimum of 2 years of post-qualification administrative experience in a professional office environment.
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Experience using office management systems and digital collaboration tools will be an added advantage.

- Excellent verbal and written communication skills, including strong minute-taking and report-writing abilities.
