The successful candidate will assist in coordinating fleet activities, supervising drivers, managing vehicle maintenance schedules, and ensuring reliable transportation services that support business operations.

Key Responsibilities
Fleet & Transport Management
- Support the day-to-day management of the company fleet to ensure vehicle availability and operational efficiency.
- Coordinate transport requests and allocate vehicles based on operational priorities.
- Monitor vehicle usage, availability, and performance to minimise disruptions.
- Maintain accurate fleet records, including vehicle documentation, service history, and operational reports.
- Assist in developing and implementing fleet management procedures and improvements.
Vehicle Maintenance & Compliance
- Support preventive and corrective vehicle maintenance planning to reduce downtime and extend vehicle lifespan.
- Monitor vehicle servicing schedules and ensure timely maintenance activities are completed.
- Coordinate with service providers and workshops to address vehicle repairs and maintenance needs.
- Ensure company vehicles comply with Ghana Road Traffic Regulations and relevant safety requirements.
- Maintain records of vehicle inspections, licences, insurance, and other statutory documents.
Driver Supervision & Fuel Management
- Support the supervision and coordination of drivers to ensure safe and efficient service delivery.
- Monitor driver performance, attendance, conduct, and compliance with company policies.
- Track fuel usage, analyse consumption patterns, and support fuel control measures.
- Maintain accurate fuel records and investigate unusual fuel consumption trends.
- Promote safe driving practices and adherence to company transport procedures.
Budget & Cost Management
- Assist in preparing transport-related budgets and monitoring operational expenses.
- Support cost-control initiatives to improve transport efficiency and reduce unnecessary expenditure.
- Track fleet-related costs, including fuel, repairs, maintenance, and vendor services.
- Prepare reports that support decision-making and operational planning.
Vendor & Contract Management
- Support the management of relationships with vehicle maintenance providers, suppliers, and transport vendors.
- Assist in monitoring vendor performance and service quality.
- Maintain records of service agreements, contracts, and supplier documentation.
- Support procurement processes related to transport services and fleet requirements.
Key Performance Indicators (KPIs)
Performance will be measured based on:
- Fleet availability rate.
- Reduction in vehicle downtime.
- Compliance with preventive maintenance schedules.
- Transport request response time.
- Fuel management efficiency.
- Accuracy and timely submission of fleet reports.
Qualifications & Experience
- Diploma or Bachelor’s degree in Transport Management, Logistics, Supply Chain Management, Business Administration, or a related field.
- Minimum of two (2) years of relevant experience in fleet management, transport coordination, logistics, or a related role.
- Experience supporting vehicle maintenance planning and transport operations.
- Knowledge of Ghana Road Traffic Regulations and fleet compliance requirements.
- Experience managing drivers, fuel records, and transport documentation is an advantage.
