We are seeking a detail-oriented, organized, and reliable Administrative/Accounting Assistant to support financial, administrative, procurement, and operational activities. The successful candidate will work closely with the Project Manager and internal teams to ensure efficient project coordination and compliance with organizational procedures.

Position Overview
The Administrative/Accounting Assistant will provide essential support in accounting operations, financial documentation, administrative coordination, procurement processes, and logistics management. The role requires strong attention to detail, confidentiality, accuracy, and the ability to manage multiple priorities effectively.
Key Responsibilities
Accounting and Administrative Support
The Administrative/Accounting Assistant will:
- Support accounting processes, including expenditure tracking and accurate financial record-keeping.
- Record financial transactions, including payments, receipts, and journal entries, accurately and promptly.
- Maintain proper filing and organization of financial documents, including invoices, receipts, vouchers, and supporting records.
- Assist with regular bank, cash, and ledger reconciliations to ensure financial accuracy and completeness.
- Support the preparation and maintenance of financial records and reports.
Financial Management
- Assist in monitoring project budgets and ensuring proper allocation and utilization of resources.
- Support compliance with approved financial plans and internal financial procedures.
- Assist in preparing periodic financial and administrative reports according to organizational and donor requirements.
Payroll and Contract Administration
- Support payroll preparation and ensure accuracy of staff-related financial documentation.
- Assist with staff contract administration, including preparation, renewals, updates, and record management in line with organizational policies.
Procurement and Logistics Support
- Support procurement processes and organizational purchases while ensuring transparency, cost efficiency, and compliance with procedures.
- Assist with supplier documentation and procurement records.
- Coordinate staff travel and accommodation arrangements to support smooth project implementation.
Audit and Compliance
- Support internal and external audit processes by maintaining complete and accurate financial documentation.
- Assist in ensuring compliance with donor requirements, financial guidelines, and administrative procedures.
- Maintain organized records to support accountability and transparency.
Administrative Support and Coordination
- Provide administrative support to the Project Manager and project team.
- Manage internal and external communications, including official correspondence and email coordination.
- Support effective coordination of daily administrative activities.
- Perform other related duties assigned to support organizational objectives.
Qualifications & Experience
Applicants should possess:
- A Bachelor’s degree in Business Studies, Finance, Commerce, Administration, or a related field.
- An advanced degree (Master’s or equivalent) in a relevant field will be an added advantage.
- Minimum of two (2) years’ professional experience in an accounting or administrative role.
- Previous experience working with an NGO or development organization will be an added advantage.
- Basic knowledge of financial management, accounting principles, budgeting, and donor financial requirements.
- Experience using administrative and financial information systems and Microsoft Office applications.
- Knowledge of procurement procedures, logistics coordination, and administrative processes.
- Understanding of donor compliance requirements and financial management guidelines.
